For distributors on QuickBooks Desktop

2,421 orders in QuickBooks. Nobody typed them in.

Your customers already wrote the order down. Opti reads it and enters it into QuickBooks, so your team checks it and clicks Confirm instead of typing it all again.

  • Nothing to replace. It works with the QuickBooks you run today.
  • You stay in charge. Nothing posts until a person approves it.
  • Running in 1–2 weeks, and I do the setup.

The process
How it works

Three steps. Your team only does the last one.

  1. An order arrives

By email, PDF, fax or ordering portal, exactly the way your customers send them today. They change nothing.

  2. Opti enters it

Customer, items, quantities and prices are filled in for you and checked against what you have on file.

  3. You confirm

Your team looks it over and clicks Confirm. Nothing reaches QuickBooks without that click.

What your team sees

Every order, and where it stands.

Example data. New orders appear at the top as they arrive.
The difference

Every order typed by hand is time you don't get back.

Typing it yourself

  • Every order keyed in by hand, line by line
  • Skilled people spending hours a day as typists
  • Mistakes found after they're in QuickBooks

With Opti

  • Orders come in with information extracted
  • Under a minute to check and confirm
  • Problems flagged before anything posts
Caught before it reaches your books
Duplicate ordersThe same PO sent twice is entered once, not shipped twice.
Wrong pricesA price that doesn't match your contract is flagged before it posts.
Revised ordersA changed PO updates the original instead of adding a second order.
Rush shipmentsOvernight and urgent orders go to the front, so they aren't found too late.

A medical device distributor has run about 47 orders a day through Opti for 55 business days. After two weeks, the team stopped typing them in as a backup.

$1.5Min orders confirmed through Opti so far
38 secaverage time to check and confirm an order
4.6 hrsof typing handed back to one distributor every day
Measured from Opti's own records, updated Nov 4, 2026. Hours back assumes about 7.5 minutes to type an order by hand.
Beyond Opti

What does your team retype, recheck or chase every week?

Opti came from watching how one distributor really worked, then fixing the part that ate their day. I do the same for other businesses, and you know the price before any work starts.

  1. A workflow review

A fixed fee. I spend time with your team, find where the hours and money are leaking, and hand you a written list ranked by what each fix is worth.

  2. Build what pays for itself

A second fixed fee, agreed before I start, for only the fixes you choose. If a fix doesn't have a clear payoff, I'll say so before you spend anything on it.

I'm Jacob Krajnik, a U.S. Army veteran with a mechanical engineering degree from CU Boulder. Building automation tools and bringing AI into real businesses is what I do for fun, and Slatum is where that became the job.

I built Opti, and I set it up for each client and run it day to day. It's monitored around the clock, and when something needs a human you get me, the same day, not a ticket queue.

Questions

What you're probably wondering.

We've been burned by software before. What's different?

Fair. That's why the first call uses your own purchase orders, not a demo script. You see what Opti does with your orders before you decide anything, and nothing reaches QuickBooks without your team approving it.

What does it cost?

It's quoted on the first call, based on your order volume. If Opti doesn't cost less than the typing it replaces, it isn't worth buying, and you'll hear that from me.

How long does setup take?

Usually 1–2 weeks. Most of that is your IT team approving access on their end. The rest is on me.

Do our customers have to change anything?

No. They keep sending purchase orders exactly the way they do now.

Does this replace our staff?

No. It replaces the retyping. Your team still reviews every order and still owns the customer relationship.

What if we stop using it?

Every order you confirmed is already in QuickBooks. Nothing is locked inside Opti.
